A fixed plan, not an open-ended study.
You provide a workflow owner who can answer questions, read access to the systems involved, and the cases. We do the rest.
Days 1–2 · Kickoff
Confirm the workflow owner, access and the 50 cases. Map the systems and the decisions involved.
Days 3–6 · Measure
Run the cases through today’s process. Time, error rate, rework and where judgment is really needed.
Days 7–8 · Diagnose
Root causes, a prioritized fix list, and acceptance criteria written from your own cases.
Days 9–10 · Readout
Findings walkthrough with your team and a fixed-price Build quote you can sign or shelve.
Baseline
Measured time, volume, error and rework on up to 50 real cases.
Findings
Root causes with the evidence behind each one.
Prioritized plan
What to automate, what to fix in the process, and what to leave alone.
Acceptance criteria
The test a Build must pass, built from your cases.
Fixed-price quote
Scope, timeline and price for the Build, plus the Run option.
The fee comes back.
Sign a Fixed-Scope Build within 30 days and the full Diagnostic fee is credited against it.
You have a repetitive workflow and a person who owns it.
- Dozens to thousands of similar cases a month: invoices, contracts, forms, reconciliations, research questions.
- The rules exist, even if they live in someone’s head.
- Errors or delays cost real money or real hours.
- You want a fixed price before committing to a build.
You want a strategy deck or an SI roadmap for the whole company.
- No single workflow or owner identified yet. Start with a free fit call.
- Cases cannot be shared, even in a controlled environment.
- The goal is replacing people’s judgment on consequential decisions without review.
Exceptions stop. Approvals are explicit.
This sample shows the behavior a Diagnostic writes into your acceptance test: a mismatch cannot be released until a person resolves it, and every step is logged.
An invoice becomes a reviewed accounting record.
Compare extracted fields against a purchase order, resolve discrepancies, and prepare a controlled handoff.

Follow a case from input to a reviewed output. Try the exception and the matching scenario.
Every action is written to the decision trail.

Diagnostic questions.
What happens to the Diagnostic fee if we go ahead?
It is credited in full toward a Fixed-Scope Build signed within 30 days of the readout. The 50-case evidence set from the Diagnostic becomes the acceptance test for the Build.
Do we need perfect data first?
No. We need enough real cases to measure today’s baseline and write an acceptance test. The Diagnostic separates what must be fixed now from what can be handled with controls.
Who will actually do the work?
Jacob Hicks, OptiSyn’s founder: a Marine Corps veteran with an active TS/SCI clearance who builds production SI in federal and Fortune 10 environments. You talk to the engineer, not an account manager. When a scope needs more hands, specialists are named in the proposal before you sign.
Can a federal office buy this quickly?
Yes. The federal Workflow Diagnostic is fixed at or under the $15,000 micro-purchase threshold. OptiSyn is an SBA-certified SDVOSB, so larger work can be awarded sole-source up to $5M under FAR 19.1406.
